Terms of Service

QrPOS is a browser-based software platform built for small and medium-sized businesses. It provides digital QR menu catalogs, a point-of-sale (POS) system, and kitchen display screens (KDS) — giving independent venues access to high-quality operational tools typically reserved for large hospitality brands, at an affordable price.

QrPOS is not a payment processor. We do not handle, transmit, or store credit/debit card numbers or other payment credentials. The platform facilitates order taking, station management, and operational reporting — payment collection happens outside of QrPOS, through your existing payment methods.

You must be at least 18 years old and legally authorised to enter into agreements on behalf of the business you register. By creating an account, you represent that these conditions are met.

• Accounts are created using a valid email address. Authentication is handled via magic-link emails — no passwords are required or stored.
• You are responsible for maintaining access to the email address associated with your account.
• You may invite team members via the admin dashboard. As the business owner you are responsible for the actions of any user granted access to your account.

• QR Menu — €7/month. Includes the full digital catalog with themes, layouts, add-ons, and category scheduling. Ordering is not included.
• POS add-on — +€12/month, which includes up to 12 stations. Each additional station beyond 12 is €1/month. Takeaway and pickup do not count toward the station total.
• KDS add-on — €29/kds/month (early-bird pricing). The standard price of €49/kds/month will apply to new subscribers once the early-bird window closes; existing subscribers keep their locked-in rate.

All prices are in euros and exclude applicable taxes. We may adjust pricing with 30 days’ notice; early-bird rates remain locked for the lifetime of the subscription.

Every new subscription comes with a 30-day money-back guarantee. You enjoy full access to all features from day one — there is no limited or trial version. If you are not satisfied for any reason, cancel within 30 days and we will refund the charges of your first billing cycle in full, no questions asked.

To request a refund, email info@qrpos.io or cancel from your admin dashboard within the first 30 days.

• Order and transactional data is retained for 7 days to support day-to-day POS/KDS operations and short-term reporting.
• You may export reports at any time during the retention window.
• After 7 days, order data is automatically and permanently deleted.
• Business profile data (menu, products, categories, images) persists for the lifetime of your account.
• We do not retain your customers’ personal data, sales history, or order archives beyond the 7-day window.

If your business requires extended retention, long-term analytics, or custom data solutions, contact us to discuss an enterprise arrangement.

You agree not to:

• Use the platform for any unlawful purpose or to facilitate illegal activity.
• Attempt to gain unauthorised access to other accounts, servers, or data.
• Upload content that is defamatory, obscene, or infringes on intellectual property rights.
• Interfere with the availability or performance of the service for other users.
• Reverse-engineer, decompile, or attempt to extract the source code of the platform.

The QrPOS platform, including its design, code, branding, and documentation, remains the exclusive property of QrPOS. Your subscription grants you a non-exclusive, non-transferable licence to use the service for your business operations.

Content you upload (logos, images, product descriptions) remains yours. By uploading it you grant QrPOS a limited licence to display it within your digital catalog and admin dashboard for the purpose of providing the service.

We strive for high availability but do not guarantee uninterrupted service. Scheduled maintenance will be communicated in advance when possible. We are not liable for downtime, data loss, or service interruptions caused by factors beyond our reasonable control.

QrPOS is provided “as is” without warranties of any kind, express or implied. To the fullest extent permitted by law, QrPOS shall not be liable for any indirect, incidental, or consequential damages arising from your use of the platform, including lost revenue or data.

Since QrPOS does not process payments or handle card data, we bear no responsibility for payment disputes, chargebacks, or financial transactions between you and your customers.

• You may cancel your subscription at any time from the admin dashboard or by emailing us. Cancellation takes effect at the end of the current billing cycle.
• We may suspend or terminate accounts that violate these terms, with notice where practicable.
• Upon termination, all associated data will be permanently deleted within 30 days.

We may update these Terms of Service from time to time. Material changes will be communicated via email or a notice in the admin dashboard at least 14 days before they take effect. Continued use of the platform after changes constitutes acceptance.

These terms are governed by the laws of the jurisdiction in which QrPOS is registered. Any disputes will be resolved through good-faith negotiation before formal proceedings.
